The role
The Team Assistant will provide an important support function across the Operations team and will be responsible for tracking the delivery of after sales assets (Production paperwork and Marketing assets) into ITV Studios Global Partnerships (GP). All assets must meet the GP Delivery Specifications, be uploaded to the correct system and be delivered by the agreed deadline/s.
- Responsible for the tracking of all after sales assets, ensuring that internal and external Production teams have complied with all contractual delivery requirements.
- Responsible for accurately updating various ITV internal tracking tools.
- Be the super user for the ITV After Sales Asset Management System.
- Work with Marketing to ensure that all required assets are available on ITV Studios website for customers to access.
- Assist Marketing with sourcing and delivering required assets for Marketing festivals and key events.
- Coordinate high profile, confidential pre-transmission content including watermarking restricted assets, (paperwork and video).
- Source programme images and collate editorial asset metadata to assist the fulfilment of VOD deals to digital platforms.
- Act as a researcher for the Operations team to locate archive assets, commission scripts and synopsis, all by using a variety of tools and resources.
- Assist with the setting up of new suppliers in the ITV procurement system.
- Learn how to use the ITV work order tool to assist Client Services as required.
- Support the Content Acquisitions Team, raising Production Numbers and be across video file delivery on occasion.
- Support Content Management Team on Localisation Commissions, inventory research, requesting dubbing studio quotes.
- Support team on reporting tasks as appropriate and admin support such as meeting room booking, some agenda creation and circulation.
Skills you’ll need (minimum criteria)
- Administrative experience
- Excellent attention to detail. Able to quickly make logical decisions, work without supervision and assess and act on changing priorities across a large workload.
- Excellent I.T. skills, confident at the prospect of interacting across a number of new systems simultaneously
- The ability to remain calm under pressure is essential, often working to tight deadlines, escalating when necessary.
Other things we’re looking for (key criteria)
- Some experience in a media environment would be preferable as an awareness of asset management and media file formats for distribution would be immediately beneficial.
- Experience of Google Suite including reporting via Google Data Studios would be helpful.
- A self-motivated, enthusiastic, highly organised and reliable person who thrives in a team environment.
- A patient individual who enjoys working through problems and finding solutions.
